Last Updated: September 2026

We understand that travel plans can change. At Safari Companion TZ, our cancellation policy is designed to provide clear and transparent guidelines while taking into account the costs and commitments involved in arranging accommodation, park fees, transportation, guides, permits, flights, and other travel services.

Please review the following policy before confirming your booking.

1. Cancellation by the Traveler

If you need to cancel your trip, please notify Safari Companion TZ in writing as soon as possible.

The applicable cancellation charge will depend on how far in advance we receive your written cancellation request.

Cancellation Schedule

Cancellation charges may vary depending on the specific itinerary, accommodation, flights, permits, park fees, mountain arrangements, or other non-refundable services included in your booking.

2. Deposits

Deposits are used to secure services for your trip, including accommodation, transportation, park arrangements, permits, and other travel services.

Depending on the suppliers involved, deposits may be partially or fully non-refundable.

The exact deposit amount and applicable refund conditions will be stated in your quotation or booking confirmation.

3. Safari Cancellations

Safari bookings may involve advance payments for lodges, camps, park fees, vehicles, guides, meals, and other services.

If you cancel your safari, Safari Companion TZ will make reasonable efforts to recover any refundable amounts from the relevant suppliers.

Any approved refund will be calculated after deducting applicable cancellation charges and non-refundable costs.

4. Kilimanjaro and Mountain Trek Cancellations

Kilimanjaro and other mountain trekking arrangements may require advance payment for park fees, permits, accommodation, transportation, guides, mountain crew, equipment, and other services.

Some of these costs may become non-refundable once arrangements have been secured.

If you cancel a mountain trek, the amount refundable will therefore depend on the cancellation date and the costs already committed on your behalf.

5. Zanzibar Holiday Cancellations

Zanzibar bookings may include accommodation, transfers, excursions, flights, and other services with individual cancellation conditions.

Cancellation charges may therefore vary depending on the hotel, airline, activity provider, and other suppliers included in your itinerary.

The specific cancellation terms applicable to your Zanzibar booking will be communicated during the booking process.

6. Cancellation by Safari Companion TZ

In exceptional circumstances, Safari Companion TZ may need to cancel, postpone, or significantly change a trip because of circumstances beyond our reasonable control.

These circumstances may include:

  • Extreme weather

  • Natural disasters

  • Government restrictions

  • Park closures

  • Road closures

  • Airline disruptions

  • Civil unrest or security concerns

  • Public health emergencies

  • Other unforeseen circumstances beyond our reasonable control

Where possible, we will offer an alternative itinerary, reschedule the trip, or provide any refund that can reasonably be recovered from suppliers.

7. Changes Instead of Cancellation

If your travel plans change, we encourage you to contact us as early as possible.

Depending on availability, we may be able to change your travel dates or modify your itinerary instead of cancelling the booking.

Date or itinerary changes may result in additional costs from accommodation providers, airlines, parks, transportation companies, or other suppliers.

8. No-Show and Early Departure

Normally, no refund will be provided if a traveler:

  • Fails to arrive for the scheduled trip.

  • Arrives too late to join the itinerary.

  • Voluntarily leaves a safari, trek, or holiday before completion.

  • Decides not to participate in activities after the trip has started.

  • Does not use part of the services included in the confirmed itinerary.

Where possible, Safari Companion TZ may assist with alternative arrangements, with any additional costs paid by the traveler.

9. Refunds

Approved refunds will be processed after Safari Companion TZ confirms the refundable amount with the relevant suppliers.

Refunds may be reduced by:

  • Non-refundable supplier charges

  • Bank charges

  • Payment-processing fees

  • Currency-conversion costs

  • Administrative charges, where applicable

The time required to process a refund may depend on the payment method and the relevant financial institution.

10. Special Circumstances

We understand that unexpected circumstances may sometimes affect travel plans.

If you need to cancel because of an emergency or exceptional situation, please contact us as soon as possible and provide any relevant supporting information.

We will review the circumstances and, where possible, work with our suppliers to find a reasonable solution.

11. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance before their journey.

Travel insurance should ideally cover:

  • Trip cancellation and interruption

  • Medical expenses

  • Emergency evacuation

  • Lost, stolen, or delayed baggage

  • Travel delays

  • Personal liability

  • Other relevant travel risks

Travel insurance can help protect you against costs arising from circumstances that may not be refundable under our cancellation policy.

12. How to Cancel Your Booking

To request a cancellation, please contact Safari Companion TZ in writing and provide:

  • Full booking name

  • Booking reference

  • Travel dates

  • Tour or package booked

  • Reason for cancellation

  • Preferred contact details

The date on which we receive your written cancellation request will be used to determine the applicable cancellation conditions.

13. Important Note

Cancellation conditions may differ depending on the specific tour, accommodation, season, flights, permits, park fees, mountain arrangements, and third-party services included in your booking.

Where specific cancellation terms are stated in your quotation or booking confirmation, those terms will apply to that particular booking.

We recommend reviewing your quotation and booking confirmation carefully before making payment.

Plan Your Trip With Confidence

We understand that circumstances can change. Our goal is to make our booking and cancellation process as clear as possible while protecting both our travelers and the service providers involved in preparing their journeys.

If you have questions about cancellation terms before booking, please get in touch with us.
